A Zoho Mail email signature is a saved block of text, links, and images that Zoho Mail adds to your outgoing messages. You create it in Settings, then Signatures, give it a name, format it, and link it to the sender address that should use it. Zoho Mail supports several signatures and can pick one per address.

This guide shows each step, explains the reply and default options, and covers what to do when the signature is locked by an admin. The steps follow the Zoho Mail signatures help page, last updated October 6, 2026.

How Do You Add a Signature in Zoho Mail?

Add a Zoho Mail signature: Sign in to Zoho Mail, select the Settings icon, open Signatures, select the + icon, name the signature, enter and format your details, and select Save. Then link it to a sender address so it appears on new emails.

Here are the steps in order:

  1. Sign in to Zoho Mail.
  2. Select the Settings icon.
  3. Go to Signatures.
  4. Select the + icon. The Add Signature window opens.
  5. Type a name for the signature.
  6. Enter your details and format them: name, title, company, phone, website.
  7. Add a logo or link if you need one (see the sections below).
  8. Select Save.

To add more signatures, repeat the steps with a different name. A common set is one full signature for new emails and one short version for replies.

What should the signature contain?

Keep it short. Name, title, company, one phone number or website, and one logo cover most business needs. Our guide on what to include in an email signature lists the full set of elements, and the email signature mistakes guide shows what to skip.

How Do You Set a Default Signature for New Emails?

Default signature in Zoho Mail: When you create or edit a signature, the Associated From addresses for new emails section lists the sender addresses on your account. Select the address that should use this signature. When you write a new email from that address, Zoho Mail inserts the signature for you.

Zoho Mail groups other addresses in the dropdown too. This includes external addresses you added, group addresses you belong to, and addresses delegated to you. You can link a different signature to each one.

You can also change the signature while you write. Use the Signature icon or the Insert Signature option in the composer. The signature you pick replaces the default for that one email only.

How Do You Add a Signature to Replies?

Zoho Mail does not add a signature to replies unless you ask for it. To turn it on:

  1. Select the Settings icon.
  2. Find Signature for replies.
  3. Tick Add signature to all email replies.

After that, set which signature each address uses for replies in the Associated From addresses for replies section. This works the same way as the setting for new emails.

You can also choose where the signature sits in a reply. It can go at the end of the composer, below the quoted text, or directly under your new text and above the quoted text. Pick the position that fits how your team reads threads.

Why use a shorter reply signature?

Long signatures repeat in every message of a thread. A one-line reply signature keeps threads easy to scan. Use your full version only on first messages.

How Do You Add a Logo or Image to a Zoho Mail Signature?

In the signature editor, select Insert Image, find your file, and place it. The image options let you choose how the image shows in the signature. Zoho Mail documents the options on its image insert help page.

To make the logo clickable:

  1. Select the image in the signature.
  2. Select More in the image options.
  3. Choose Link.
  4. Enter the URL in the Insert Link window and select Insert.
  5. Select Save or Update.

Image rules for HTML signatures

If you build the signature with the Insert HTML option in the editor, Zoho notes that images need a working public URL. If your logo only exists on your computer, insert it as an inline image and resize it instead.

Keep the logo small. Our email signature logo guide and email signature dimensions guide give sizes that work across email clients.

Can You Use HTML in a Zoho Mail Signature?

Yes. Zoho Mail supports rich text signatures, and it lets you add formatted HTML with the Insert HTML option in the editor. This helps when you design a signature elsewhere and want to paste the code.

Test any pasted HTML by sending an email to yourself and opening it on desktop and phone. Formatting, images, and links do not show when you write an email in plain text format. Zoho states this in its help page, so switch the composer back to rich text if your signature disappears.

For email-safe code patterns, read our HTML email signature guide.

Why Can't You Edit Your Zoho Mail Signature?

Admin-assigned signature: When an administrator sets a signature for your account in Zoho Mail, you cannot edit it. You also cannot link a new signature to an address the admin already covers. Zoho marks the admin signature with a lock icon.

If you see the lock, ask your admin to change the text. Zoho also asks organizations to match signatures to their email policy, which reduces the risk of policy breaches.

Can You Attach a Contact Card to Your Signature?

Yes. Zoho Mail can link a contact card (vCard) to a signature. When you send or reply with that signature, Zoho adds the card as an attachment. The recipient can save it to their contacts without typing your details.

To link a card, open the signature, select Choose contact in the contact card section, pick the user from the list, and select Update.

What Are the Limits of Managing Signatures by Hand?

Per-user setup works for one person or a very small team. It gets harder as the team grows, because each person can edit their own text, fonts, and logo size. Zoho lets admins assign signatures, but you still need to keep the text current when titles and phone numbers change.

According to the Zoho Mail help documentation (updated October 2026), a signature an admin assigns is locked for the user, while every other signature is edited by its owner. If your team has more than a handful of people, one shared template saves time. Signkit does not connect to Zoho Mail directly. You can still design one template in Signkit, fill in each person's details, and paste each signature with Insert HTML. When a title or phone number changes, you update the template once and paste the new HTML again. Read our email signature management guide and email signature policy guide for the process side.

Frequently Asked Questions

Where do I find the signature settings in Zoho Mail?

Select the Settings icon in Zoho Mail, then open Signatures. There you can create, edit, and delete signatures with the + icon. You can also link each signature to a sender address and to a contact card. The same page controls which signature replies use.

Does Zoho Mail support multiple signatures?

Yes. Zoho Mail supports several signatures per account and picks one based on the sender address or email alias you use. Create each signature with its own name, then link it to an address. You can also switch signatures by hand in the composer while you write an email.

Why is my Zoho Mail signature not showing in replies?

Zoho Mail only adds a signature to replies if you turn the option on. Select the Settings icon and tick Add signature to all email replies under Signature for replies. Then link a signature to your address in the reply section. Plain-text mode also hides signature formatting.

Can I add a logo to my Zoho Mail signature?

Yes. Use Insert Image in the signature editor, or add an image by public URL when you use Insert HTML. To link the logo to your website, select the image, choose More, then Link, and enter the URL. Keep the image small so it loads fast on phones.

Why can't I edit my Zoho Mail signature?

Your organization's admin has probably set a signature for your account. Zoho Mail shows a lock icon on admin-assigned signatures and blocks edits to them. Ask the admin to update the text. You can still create other signatures for addresses the admin has not covered.

Key Takeaways

  • Create a Zoho Mail signature in Settings, then Signatures, using the + icon, and link it to a sender address so it appears automatically.
  • Turn on Add signature to all email replies if you want a signature in replies, and link a short signature to the reply section.
  • Use Insert Image for logos, and give HTML signatures a public image URL so the logo loads.
  • A lock icon means your admin controls the signature. Ask the admin to change it.
  • For teams, use a central signature tool so every person sends the same up-to-date signature.
